OUR POLICIES:

This website is owned and operated by Kodie Batchelor of Smiling  Fox (ABN 46 063 390 766) from now on referred to as me, we, us, our, my or I. Using my website, you are acknowledging that you have read, understood and agree, without limitation to be bound by these terms and conditions. I reserve the right to amend, add, modify, delete or make corrections to this website at any time without notice. For this reason, I suggest you review these terms and conditions whenever you use this site.

 

Terms and Conditions:

Working one on one:

I offer a 30 minute free consult between myself and the parent/guardian and a follow up 20 minute supervised meet with your child/children in a neutral location. If everyone involved is satisfied with the meeting and moving forward, we proceed with sessions.

 

Working with siblings:

Much the same as an individual session, a 30 minute consult and 20 minute meet and greet is necessary with sibling sessions before we proceed. As siblings have a stronger, and sometimes more turbulent bond, extra importance is placed on both children’s readiness to engage with sessions. If everyone involved is satisfied with the meeting and moving forward, we proceed with sessions.

 

Fee Payment:

We request full fee payment on the day of the service for all sessions.

We allow 7 days for payment of services provided to Department of Communities and other child welfare services, however we reserve the right to suspend services in the event of overdue accounts.

Our Cancelation policy:

Smiling Fox will notify via text message to the child and parent/guardian in the event of an urgent cancelation due to a personal emergency. The session will be rescheduled to the next available time.

We reserve the right to refuse or cancel a session or package for any of the following reasons: problems identified by our credit department; the use of obscene, profane or threatening language in correspondence towards staff, personal safety and security towards staff in the home or on location.

We will contact you if all or any portion of your session or package is cancelled.

 

Client Cancelation policy:

In the unlikely event that you are not happy with a service that we have provided and wish to cancel:

  • 48 hour notice is needed via text message, email or telephone
  • Sessions cancelled within the 24 hour period before will incur a 20% late notice fee
  • For package or 4 week meditation bundles, 48 hours’ notice is required to cancel and the full amount minus a $25.00 administration fee will be returned
  • An exit survey may be requested to provide Smiling Fox with insight into how services are operating and whether changes need to occur

 

Rescheduling policy:

Smiling Fox understands sessions may need to be rescheduled from time to time. However, in the event of two sessions in a row being rescheduled, we will discuss whether the service is the right fit for Smiling Fox and your child, and whether an alternative program is better suited.

If you wish to reschedule a service:

  • 48 hour notice is needed via text message, email or telephone in every instance
  • For package or 4 week meditation bundles, 48 hour notice is required and the session can be rescheduled to an alternative time
  • Sessions cancelled within the 24 hour period before will incur a 20% late notice fee

 

Failure to attend policy:

If a child fails to attend a guidance session, sibling session or meditation session without notifying us beforehand, we will try all avenues of contact and follow up with parent/guardian. 50% of the full session fee will be charged to your credit card as a non-attendance fee.

If no contact is made by either parent/guardian or child in the 48 hour period, sessions are paused and a 2 week period is given for contact to be made by all parties. If, after that two week period no contact has been made, your child will be automatically exited from Smiling Fox services.

For emergency cancellations (accident, pregnancy, hospitalisation, sick children) an appointment can be rescheduled or cancelled. In this circumstance, the fee is waived.

 

Package expiry dates:

If you have purchased 4 guided meditation sessions at a reduced rate of $75.00, all sessions must be used within a 2 month period.

 

Feedback and Complaints:

Smiling Fox welcomes and encourages feedback and occasionally we may seek feedback from customers to ensure we are continuously providing services in line with our vision.

If in the unlikely event you are unsatisfied with the services being received by Smiling Fox, please send details via email. Your complaint will be attended within the shortest possible timeframe and you can expect to hear from us within 24 hours of receiving your contact. We will endeavor to resolve your complaint to your satisfaction and in collaboration with you. We will endeavor to continue to work on your complaint until you are fully satisfied with the outcome.

 

Errors, inaccuracies & omissions

Occasionally there may be information on the site or in the service that contains typographical errors, inaccuracies, or omissions that may relate to service descriptions, pricing, promotions, offers and availability. We reserve the right to correct any errors, inaccuracies or omissions, and to change or update information if any information is inaccurate at any time without prior notice without issue.

 

Ethical guidelines for practice:

As a fully qualified and paid up member of the International Meditation Teachers and Therapists Association, I and anyone working at Smiling Fox, subscribe to the following Code of Ethics and Practices, supplied by the Australian Counselling Association.

As a member of the International Meditation Teachers and Therapists Association, I hereby pledge to abide by the ACA Code of Ethics and Practices.
